We are seeking a motivated, organized multi-tasker to join us as Operations Coordinator. This role is central to the daily operations of the Ranch and operates across all administrative functions. A contributing team member will take ownership of many of the day-to-day operations-focused activities, creating the foundation for the positive, supportive, creative culture that is the heart and soul of Anderson Ranch. This role requires resourcefulness, flexibility, multitasking, and the ability to resolve issues in a friendly and effective manner. We are looking for someone who enjoys supporting others in a key administrative role and is energized by project management and task completion.

Anderson Ranch Arts Center is a year-round visual-arts not-for-profit, tax-exempt organization with a 55-year history of providing transformative experiences that celebrate artists, art-making and creative dialog, at the intersection of craft and the global contemporary art world. Anderson Ranch brings together both aspiring and internationally renowned artists who come from across the country and around the world to test new ideas, explore new disciplines and techniques, hone their art-making skills, engage in meaningful dialog and connect with thought leaders in the artistic community.

Anderson Ranch’s campus is an artistic community nestled among the pristine peaks of the Rocky Mountains. The Ranch campus consists of 14 buildings providing 55,000 square feet of facilities including eight studio buildings, a gallery, a lecture hall, café, store, administrative offices, a student dormitory, as well as residential apartments and cabins. State-of-the-art equipment allows cross-disciplinary experimentation within the mediums of ceramics, woodworking, photography, digital fabrication, painting, sculpture and printmaking. The campus is an oasis of renovated 19th-century cabins and barns that sit alongside contemporary designed buildings, all within the renowned cultural and recreation communities of Aspen/Snowmass, CO, and the Roaring Fork Valley.

Position Summary:

The Operations Coordinator is one of the main points of contact for internal and external Ranch constituents, and the ability to represent Anderson Ranch with a high level of integrity and professionalism is essential for this position. This role requires organization, reliability, resourcefulness, independence, and a positive attitude. This person will be a trouble-shooter and will assist with a wide range of operations-related tasks on a daily basis. The ideal candidate has superior discretion and confidentiality, top-notch organization skills, and a cool-under-pressure customer service ethic. 

Core Responsibilities:

Operations Administration 
Provides administrative and organizational support to ensure the smooth, safe, and efficient daily operations of Anderson Ranch. Responsibilities include but are not limited to administration and logistics around: improvement and implementation of business safety plans, assisting in maintaining facilities guidelines and protocols, providing support for financial procedures, providing coordination for commercial insurance, assisting with maintaining Ranch-wide supply budget, and suggesting improvements in policies and procedures. Responds to after-hours calls and incidents, collaborating with team members to resolve issues efficiently.

IT Administration

Serves as the initial point of contact for all computer and system related concerns. Diagnoses and resolves general problems elevating issues as needed. Handles general issues and tracks IT inventory and budget. Works closely with the consulting team to implement new policies, procedures and overall campus improvements. Manages and administers software licenses and 3rd party services including but not limited to Adobe, Microsoft, Gmail, WhatsApp, etc.

Human Resources Administration 

Works closely together with the Human Resources team to ensure that the organization’s HR policies, processes, and practices are as efficient and high-performing as possible. Helps assure the professional and smooth management of all HR processes, including but not limited to medical insurance coordination, customer and employee service functions, maintains all records in a confidential manner, supports hiring logistics and payroll processes, on and off-boarding processes, provides administrative support for crisis management, coordinates communication with outside consultants as needed. 

Guest Services & Housing Administration 

Oversees all staff housing and program participant lodging coordination. Duties include but are not limited to supervising full-time housekeeping staff, contract and seasonal workers, negotiating lease and rental agreements with both internal and external parties, ensure that all policies and guidelines are followed, handle any complaints or issues that arise in a timely manner, arrange for all appropriate areas of campus to be cleaned on a regular basis in addition to housing units, oversee and implement better inventory and budgeting systems and provides guidance for guest services functions.

Welcome Center & Artworks Store 

Provides as-needed support for the Welcome Center, Artworks Store and general administrative functions for the Ranch. Periodically stands in to greet guests, answer phones, respond to the [email protected] email and manage office inventory, mail, shipping and receiving. 

Ranch Café Oversight 

Provides administrative and organizational support to ensure the efficient, safe, high-quality and customer-focused daily operation of Anderson Ranch Café. 

Facilities and Grounds Operations

Coordinates logistics and protocols for year-round operations of facilities and ground activities. Triages facilities and maintenance requests, manages parking permits, oversees campus amenity facilities (including but not limited to dorm lounge, library and Schermer Hall) and maintains and distributes key inventory for Ranch work buildings. Role includes management and organization of off-site storage, administrative assistance, record keeping and compliance with protocols around annual tests and inspections. Is a key supporting role for overall campus improvements, including but not limited to IT, building maintenance and upkeep. 

Event Operations 

Assists operationally with event execution and administration as necessary. Works collaboratively with executive team, development, marketing and contractors to ensure smooth execution of larger and donor facing events. Communicates with our neighboring properties regarding the parking lot and event planning. Assists with the review of Run of Shows, to ensure the smooth execution of events.

Organization & Improvements

Provides insight and ideas on how to improve systems and protocols. Jump starts the process by gathering the appropriate data, speaking with different departments and research best practices. Creates drafts and brings them to the team for review and works closely with appropriate team members to finalize. Plays an administrative and support role in the implementation and education surrounding new initiatives, policies and procedures.

  • Strong interpersonal skills with ability to resolve issues and complaints calmly and professionally.
  • Ability to keep confidential information secure and private.
  • Proficient with Google Workspace.
  • Licensed driver with clean driving record, eligible to be official Ranch driver as needed.

Education and Experience: 

  • Bachelor’s degree required.
  • 1-3 years of experience in operations, hospitality, and/or customer service a plus.

Staff Community Responsibilities:

  • Community Outreach Leader: All staff members are expected to build and lead partnerships with community organizations as they relate to their area of responsibility, and to actively support the outreach efforts of other team members.
  • Engaged & Supportive Team Member: All staff are expected to support colleagues and engage in the programs and events of the Ranch by attending lectures, artist talks, fundraising events, and community wide events and being available to jump in and help make them a success.
  • Support Major Fundraising & Community Events: All staff are expected to support the major annual events that engage the public and fundraisers. These are “all hands on deck” efforts and all staff are expected to participate in ways outside their normal professional functions to make them a success from set-up, to execution, to tear down.
  • Professional & Personal Development: Continuing to learn and improve is a job requirement of all staff. Team members are expected to be growing, learning, and improving in their artistic and professional lives.
  • Brand Ambassador: All team members are expected to comport themselves in a manner that is fitting with the organization; represent the Ranch both on and off-campus, as well as online and on social media, keeping in mind that positivity and professionalism are respected and appreciated.

Physical Requirements:

  • Some sedentary work that involves sitting/standing.
  • Light work that includes moving objects up to 30 pounds.
  • The employee frequently is required to stand, walk and reach with hands and arms.
  • Typical tasks as required to navigate operations in a historic building space on a campus with uneven surfaces, stairs, gravel walkways, etc.
